1. Introduction

Racer (“we,” “us,” “our”) provides a platform where event managers can create race events and racers/fans can participate or follow these events. Users may request to delete their accounts at any time. This policy explains how Racer handles account deletion requests, including the steps required, processing timelines, and any data retained.

2. Eligibility and Scope

  • This policy applies to all registered users of the Racer platform, including event managers, racers, and fans.
  • It covers full account deletion requests initiated by the user.
  • It does not govern the cancellation of specific services (e.g., unsubscribing from newsletters), which can typically be managed through the user’s account settings.

3. How to Request Account Deletion

  1. In-App or Website Settings (If Available):
    • Navigate to your account settings and select the “Delete Account” or “Close Account” option. Follow the on-screen prompts.
  2. Email Request:
    • Send an email to [email protected] with the subject line “Account Deletion Request” from the email address linked to your Racer account.
    • Include your full name, username (if applicable), and any other details to help us verify your identity.

4. Identity Verification

To protect users’ data, we may require additional steps to confirm your identity. For example:

  • We may send a confirmation email to your account email address and request you click a unique link or respond with a confirmation code.
  • If we are unable to verify the request, we will contact you for additional information.

5. Processing Timeline

  • Acknowledgment: We will acknowledge your request within [2–5 business days] of receipt.
  • Completion: Once we have verified your identity and account ownership, we will schedule your account for deletion. In most cases, deletion is completed within [14–30 days] of verification.
  • If there are outstanding financial transactions or ongoing disputes, we may delay the deletion until those matters are resolved.

6. Data Removal and Retention

  1. Immediate Removal from Active Systems:
    • Upon processing your request, we will remove or anonymize your personal data from our active databases. This includes profile information, event participation history, messages, and posts, unless otherwise stated below.
  2. Backups and Archives:
    • Backup copies may remain on our servers for up to [30–90 days] (or in accordance with our data retention schedules). These backups are used for disaster recovery and system integrity only, and they are not actively processed once your account is deleted.
  3. Legal and Legitimate Interests:
    • We may retain certain data to comply with legal obligations (e.g., tax, fraud prevention), enforce our Terms & Conditions, or resolve disputes.
    • Where possible, this retained data is minimized and access restricted.

7. Impact on Events and Community Contributions

  1. Event Manager Accounts:
    • If you are an event manager, account deletion will immediately affect your events, ticket listings, and communications. Ensure all ongoing events and financial obligations are settled or transferred before requesting deletion.
  2. User-Generated Content:
    • Some content you posted (e.g., public forum posts, event discussions) may remain visible in anonymized form to preserve community discussions or comply with legal obligations.

8. Re-Registration

  • Once your account is deleted, it cannot be recovered.
  • If you wish to use Racer again, you will need to create a new account. Your previous data (including previous event history) will not be restored.

9. Third-Party Integrations

  • Racer may integrate with third-party services (e.g., payment processors, analytics tools). Account deletion on Racer does not automatically delete data these third parties hold.
  • You will need to contact them separately if you wish to request deletion of any associated data under their control.

10. Changes to This Policy

We may update this Account Deletion Policy to reflect changes in our Services or data practices. When we do, we will update the “Effective Date” at the top. Continued use of our Services after changes indicates your acceptance of the revised policy.
